AI Usage Disclosure & Ethics Policy

Introduction

This AI Usage Disclosure explains how Dashzz uses artificial intelligence (AI) in our productivity platform, what data is processed by AI, the limitations of AI features, and your rights.

We believe in complete transparency about AI usage. You have the right to know when you're interacting with AI, what happens to your data, and the limitations of AI technology.


What AI We Use

AI Provider

Google Gemini AI

  • Purpose: General chat, productivity assistance, and task management
  • Integration: AI requests are processed securely through our servers
  • Privacy Policy: https://policies.google.com/privacy

AI Features

We provide specialized AI assistants (Dashee, Archee, Flowee, Guidee) for different productivity needs. All use Google Gemini AI models with specialized prompts.

AI Productivity Tools:

  • Task Breakdown: Converts complex projects into actionable subtasks
  • Brain Dump: Organizes messy thoughts into structured notes
  • Priority Matrix: Analyzes tasks by urgency and importance

These tools use AI to help you organize your work more effectively.

Future AI Providers

We may add support for additional AI providers in the future (such as OpenAI, Anthropic, or others). We will notify you of significant changes to AI providers with reasonable advance notice.


How Your Data is Processed by AI

When you use AI features, your messages and dashboard context are sent to Google Gemini to generate personalized responses.

What AI receives:

  • Your AI chat messages
  • Dashboard context to provide personalized productivity advice:
    • Dashboard names, descriptions, and emojis
    • For habit dashboards: Task widget only (task names, task notes, completion status, progress)
    • For goal dashboards: Widget names, descriptions, recent tracking data (last 5 data points), statistics
  • Recent conversation messages (up to 15 messages for context)

What AI does NOT receive:

  • Your email address or password
  • Payment information
  • IP address or device identifiers
  • Full historical tracking data (only recent summary data to provide helpful suggestions)

Data Storage:

  • AI conversations are stored in your account
  • You can delete AI conversations at any time
  • Deleted conversations are permanently removed
  • AI conversations may be auto-deleted after a period of inactivity

AI Limitations (CRITICAL - Please Read)

AI Can Be Wrong

AI may generate incorrect, outdated, or contradictory information. Always verify important information from authoritative sources.

AI is NOT Professional Advice

  • ❌ NOT medical, mental health, financial, or legal advice
  • ❌ NOT a replacement for licensed professionals or therapists
  • ❌ NOT crisis support - contact emergency services if needed

AI Has Limited Understanding

  • Only knows what you tell it in recent conversation messages
  • Cannot remember previous conversations or verify real-time information
  • May reflect biases from training data
  • Cannot access external information or your personal files

You use AI features at your own risk. We are not responsible for decisions made based on AI suggestions.


Your Rights Regarding AI

Access and Control

You can:

  • View all AI conversations in your dashboard
  • Request export of your AI conversation history (contact [email protected])
  • Delete individual AI conversations at any time
  • Delete all AI conversations for a specific dashboard
  • Delete your entire account and all AI data (Settings → Danger Zone)

Deletion is permanent. We cannot recover deleted AI conversations.

Opt-Out

You can:

  • Choose not to use AI features (they are completely optional)
  • Use Dashzz's full functionality without ever interacting with AI
  • Request human support instead of AI assistance

There is no penalty for opting out of AI features.

Data Portability

You can request export of your AI conversation history as structured JSON by contacting [email protected]. We'll provide your data within 30 days.

GDPR Rights (EEA/UK Users)

You have the right to:

  • Object to automated decision-making (GDPR Article 22)
  • Withdraw consent for AI features (contact [email protected] with "Withdraw AI Consent")
  • Lodge a complaint with your data protection authority

Note: Dashzz's AI features are advisory only and do not make automated decisions that significantly affect you (e.g., loan approvals, employment decisions).

CCPA Rights (California Residents)

California residents have specific rights regarding AI data sharing:

Third-Party Data Sharing Disclosure: When you use AI features, your AI messages and dashboard context are shared with Google LLC (Google Gemini) as a service provider. Google is contractually required to:

  • Use your data only to provide AI services to Dashzz
  • Not use your data for their own purposes (advertising, profiling, etc.)
  • Not sell your personal information
  • Maintain appropriate security safeguards

Your CCPA Rights:

  • Right to Know: Request disclosure of what AI data we've shared with Google in the past 12 months
  • Right to Delete: Request deletion of your AI data (both from Dashzz and instruct Google to delete)
  • Right to Opt-Out: AI features are optional - you can opt-out by simply not using them
  • Right to Non-Discrimination: No penalty for not using AI features

We Do Not Sell AI Data. Your AI messages are not sold to third parties. Google processes your AI data as a service provider under contract.

Human Review

You can:

  • Request human customer support instead of AI assistance
  • Ask our team to review AI-generated responses
  • Report problematic or harmful AI content

Safety and Ethics

Content Filtering

We use safety filters to prevent AI from generating harmful content, hate speech, or illegal material. However, AI may occasionally produce inappropriate responses. Please report any problematic content to [email protected].

Crisis Resources

If you're experiencing a crisis:

AI cannot provide crisis support. Please contact professional services immediately if you're in danger.

Abuse Prevention

We may review AI usage to prevent abuse or safety filter bypasses. Abuse may result in suspension of AI access or account termination.

AI Ethics Commitment

We are committed to responsible AI usage:

  • Transparency: We clearly disclose when you're interacting with AI
  • User Control: AI features are optional and you can delete AI data anytime
  • No Deceptive Practices: We do NOT disguise AI as human support or sell AI-processed data
  • Bias Monitoring: We review AI responses and encourage user feedback on problematic behavior

AI Usage Limits

Message limits vary by subscription tier (Free, Pro, Premium). Current limits are displayed in the app and on our pricing page. Conversation message limits help maintain quality and context.

Monthly limits reset on your billing date (or calendar month for free tier). Unused messages do not roll over.


AI Improvements and Updates

We may update AI features from time to time through:

  • Prompt improvements
  • Safety filter updates
  • Model version upgrades
  • New AI features or assistants

You can provide feedback on AI responses via thumbs up/down ratings or by contacting [email protected].


If AI Services Fail

Error Handling

If AI services are unavailable, you will see clear error messages with suggestions to try again later or contact human support.

Data Safety

  • No data loss: Your messages are saved even if AI fails to respond
  • AI conversations are stored before and after AI processing
  • You can retry failed requests

Third-Party AI Provider Terms

By using AI features, you also agree to comply with Google's terms of service. Violation of Google's policies may result in suspension or termination of your Dashzz AI access.

Updates to This Policy

We may update this AI Usage Disclosure from time to time to reflect changes in our AI features or legal requirements.

Minor changes: We'll update the "Last Updated" date at the top.

Material changes: We'll notify you via email or in-app notification with reasonable notice before changes take effect.

Your continued use of AI features after any updates means you agree to the revised policy.
